Your whole club in one app: members, sessions, attendance and payments

At first we used Spletni portal for its extremely well-organised accounting system (sending payment slips, checking payments …), and later we started using the portal for all the administration we need in the club (messaging club members, entering trainings, checking attendance at trainings). The portal is extremely useful, but what convinced us most is that its creators are open to every new suggestion and idea, and they put them into practice incredibly quickly. I would recommend the portal to every sports club, as its creators can adapt certain features of the portal to an individual club and its needs. We look forward to further cooperation and shared challenges!

At NK Mirna football club we first decided to try Spletni portal free of charge. Because we liked it a lot, we decided to buy a licence. The main advantage of the portal is that it saves you a great deal of office work. Payments and issuing payment slips are very clear. Coaches also have an easier job at training thanks to their quick mobile access to the portal, as they can check attendance quickly. We will certainly keep using the portal, as over a year it is cheaper than sending paper payment slips.

Working with the portal has made keeping our records easier. We enter the timetable of trainings and matches, and attendance itself, into the portal as we go. That way coaches and club management have an up-to-date view of how well trainings are attended and in which hall they take place. They can follow everything on smartphones or computers. We then export attendance records by age group to Excel. We keep all the Excel tables on the computer, so we can’t mislay or lose them. The portal also calculates the attendance percentage of individual players at trainings. We enter every new player with all her details into the database. That way we have all contact details in one place. If a coach needs some information about a player, they can access it through the portal on a mobile phone. We handle all payments through the portal. We issue payments in batches. If age groups have a different monthly amount from the others, we mark it. Payment slips in PDF are made very quickly, and the portal then sends them with one click to all the parents’ e-mail addresses. If payment slips are not paid on time, we also send reminders through the portal with one click. They don’t need to be created again, as the regular payment turns into a reminder. Every player has her own username and password for the portal, where she can follow the trainings of her age group and her payment slips that are still unpaid. To sum up, the portal has shortened the time we spend creating payment slips and given us a clear view of payments, trainings and the player database. We got used to it quickly and can no longer imagine working without it.

We have been using Spletni portal at the club for a year and a half. For now we use it mostly for issuing monthly invoices for training fees, as doing this through the portal has proved the friendliest way for everyone: for the club, which issues invoices simply and quickly by e-mail and then follows payments and sends reminders to non-payers; for parents, who can see their payments at any moment by logging in to the portal; and for the accounts office, which gets the data through the portal. This way the club saves time, office supplies and postage. With your login you can go to the portal anywhere, on any computer. We keep our whole membership database in Spletni portal, and we also send notices to members through the portal. Our members, or their parents, also send messages to the club through the portal. I must also praise the portal team, which is extremely responsive and open to suggestions, takes the specifics of each club into account, fulfils our wishes very quickly and helps us when we get stuck somewhere. Unfortunately, at our club the portal somehow hasn’t caught on with the coaches, who could submit all their reports through the portal so that we would have everything stored in one place. We will keep working on that at our club. Otherwise the portal is great and we recommend it.

Working in the portal helps us above all with finances, where we can keep all records of payments and non-payers. We have all the data on all members in one place — players, coaches and others. We can publish everything that will be happening at our club, from matches and tournaments to trainings and so on. The portal is therefore a good meeting point for everyone who is connected with us in any way – players, parents, coaches, supporters – and who wants quick information.

We coaches at our club use Spletni portal primarily for recording attendance at trainings as we go and for producing monthly reports. Day to day it also serves as a tool for keeping a single record of trainings and preparing for them. With its ability to send SMS messages, it has been key in informing coaches, players, parents and also outside members of our club at bigger events and in exceptional situations. Within the club we are also making logistical adjustments so that we can soon start using the portal as a tool for sending monthly payment slips for training fees and any other costs too. The portal is certainly a handy thing that helps us run the bureaucratic side of club activities simply through the whole season, or indeed the whole calendar year.

When I came to a club that had been using Spletni portal for some time, I couldn’t believe how simple all the administration, messaging and submitting reports were becoming. I would recommend it to all clubs, as “modern” children demand a modern approach, and their parents are not lagging behind either. Every club that wants to keep up with the times should have it.

Because every year we have more children at the club, more activities and so more organisational needs, we decided to start using Spletni portal. Our wish was to set up better, faster and more effective communication between the club and its members – the parents. Spletni portal has certainly achieved its purpose, as through it we can pass on all the necessary information about every club activity to parents promptly and clearly. Spletni portal also offers a range of other functions: publishing photos and summaries of individual events; every member can see what a particular group is doing and also manages and completes their own personal profile. In short, Spletni portal offers many different options for passing on information faster and more effectively, and it is also something that keeps growing and being upgraded: the owner of the portal is always available to help and tries to fulfil as many of the users’ requests and wishes as possible.
