Answers from the help pages and the club’s knowledge

The assistant answers from Clubsman’s help pages, frequently asked questions, the club’s documents and news, and the questions and answers the club adds. It names its sources and offers a button to the right page (e.g. “Open: Issue invoices”).

Analyst

Revenue, debtors, attendance, enrolment and coach pay — calculated by Clubsman’s own rules and only from data the user is allowed to see.

Commands with confirmation

23 one-sentence commands for the calendar, attendance, members and groups. Whatever is missing, the assistant asks with buttons; it carries out each action only after you confirm it on a card you can read at a glance.

Ready for AI agents

Keys with limited rights, OpenAPI and MCP. Claude, ChatGPT and other assistants connect by signing in (OAuth), without copying keys; every call is logged. In the Gold and Platinum packages or with an add-on.

What you can ask for

  • Calendar: a new training or series (“create a training on Tuesdays from 18.00 to 20.00 for U15”), cancelling and restoring, moving, changing the location or coach, entering attendance.
  • Members and groups: a new member, a move to another group, a change of phone or e-mail, leaving the club, a new group.
  • Draft only: a notice to parents, a series of training fee invoices, an SMS or payment reminders — the assistant prepares it and opens the right screen, and you send it yourself.
  • Instant answers: when a group trains, who was absent, how much a member owes.
  • “What can you do?” lists everything the signed-in person may do; the Calendar and Members pages show the first example commands for that page.
  • On a phone the conversation takes the whole screen, and the input box stays above the keyboard.

Privacy

  • The language model runs on our own server; the knowledge index is stored in Clubsman’s database.
  • The assistant sees only what the person asking is allowed to see.
  • The club switches on the assistant and the Analyst itself, and can switch off financial answers separately.
  • In the Bronze and Silver packages only the club administrator uses the assistant; coaches, members and parents get it in the Gold and Platinum packages or with the “AI assistant for all roles and API” add-on.
  • Commands still work when the language model is unreachable — Clubsman’s rules read the sentence.

Frequently asked questions

Is the AI assistant in every plan?

Yes. The AI assistant with Club knowledge, the Analyst and commands is in every plan. In Bronze and Silver the club administrator uses it; in Gold and Platinum every role does — coaches, members and parents — together with the API for AI agents. For Bronze or Silver you add it for every role, with the API, through the “AI assistant for all roles and API” add-on (€120 per year + VAT) on the Licence page.

What does it mean that Clubsman is ready for AI agents?

Clubsman has an open interface for AI agents: REST described with OpenAPI, and MCP. An administrator creates a key with chosen rights or approves a connection; Claude, ChatGPT and other assistants that support MCP connect by signing in to Clubsman, with no keys to copy. An agent may do only as much as the person who connected it, every call is logged, and you can end the connection at any time. The API for AI agents is in Gold and Platinum; for Bronze or Silver you add it with the “AI assistant for all roles and API” add-on (€120 per year + VAT).
