In detail

Reports: everything it does

Attendance and finances

  • Overview, delivery, attendance matrix, by season, by member, finances and analytics in one row of tabs; filters apply at once and stay in the address.
  • Only sessions that were held count, and injured or sick members are marks of their own.
  • Events by type and coaches’ activity.
  • A coach who sees only their own groups reads only those groups in the reports.
  • Every report exports to Excel.

Coach pay

  • Pay per event, per hour, per member present, by tiers of headcount or duration, or a monthly retainer.
  • Surcharges for weekdays, holidays, the start time or the session lead.
  • Rules for cancelled sessions and missing attendance, and a monthly cap per coach.
  • Pay runs go from prepared to checked, approved and paid, with “Why this amount?” and an Excel file and printable statement for each coach.
  • Coaches see their own statement in “My pay”.

Summaries

  • E-mail summaries for the board and staff on a chosen schedule.

Questions

Frequently asked questions

Can we export our data?

Yes. You export members, invoices and reports to Excel, accounting data for your accountant, and for a single member you can prepare a personal data export (GDPR). Members can export their own data themselves.

Can our accountant work in Clubsman?

Yes, at no extra cost. The Accountant role reads the invoice book, payments and reports, takes the Excel exports, enters received invoices and locks periods, but does not change issued invoices. An accountant working for several clubs switches between them without signing in again.
