From another club program or app

Send us an export from the program you use now — Excel, CSV or another file. We review it with you, map it to Clubsman and run the import step by step; before the import we choose together the seasons and members you want to bring along.

Your current program keeps running until launch; once the data is checked, you switch over and invite members and parents with “Send access”.

Import

From Excel

We do the transfer together with you, free of charge. We use a template with drop-down lists and instructions; before you confirm, you see who is new, who is updated and which data is not valid. You can also import members yourself at any time.

  • Matching by username, name with date of birth, or name with e-mail address
  • Checks of e-mail address, phone number and date of birth
  • Only the columns in the file are written
  • Help with moving from another program is free

    A trial environment with a sample club and a talk about what your club needs.

  2. Transfer

    Data import and a review together with the club administrator.

  3. Settings

    Modules, roles, enrolment forms, articles and accounting accounts; “Getting started” on the home page tells you what is still missing.

  4. Launch

    “Send access” to members and parents, the first invoices and notices.

Questions about switching

Can we import members from Excel?

Yes. Import from Excel or CSV comes with a template with drop-down lists and instructions. Before you confirm you see a preview: who is new, who is updated and which data is not valid (e.g. an e-mail address, phone number or date of birth). We help you move from Excel or another program free of charge.

Will you teach us how to use Clubsman?

Yes. Every plan includes up to 2 hours of free remote staff training per year — for administrators, coaches and the accountant, in one or more sessions as agreed. Each further hour costs €45 + VAT; Platinum also includes on-site onboarding. On top of that, Clubsman has help on every page and guided tours.
