Sponsors, donors, partners

Sponsors and donors: no promise, instalment or renewal is forgotten

The club sees every contract in one place, ordered by what needs doing first. Promises become tasks for coaches, instalments become invoices, and at the end Clubsman prepares a report for the sponsor with figures the club already has.

Gold package or add-on

The sponsor list of the sample club Linden FC: Linden Motors, Pine Electrics, The Chestnut Inn, a donor and an in-kind sponsorship, with the contract value, status, promises kept and the next step (invoice overdue, decide on renewal, renewal talk).
The list is ordered by what needs doing first.

At a glance

Every contract in one place

Sponsorship or donation, in money or in kind. Quick entry on one screen with a company search by VAT number; suggested partners from invoices the club has already issued.

Promises become tasks

A logo on the shirt, a board, posts, hospitality … every promise has a deadline and a person. The coach ticks it off on the phone with a photo or a link — with the evidence, the promise is proven.

Instalments become invoices

14 days before the due date Clubsman prepares a draft invoice in the issue wizard; a person issues it. The instalment’s status is read from the invoice, and a donation gets a receipt.

A one-page report for the sponsor

“Partnership overview”: what the support made possible, promises kept with photos, and the club’s figures — totals only, never members’ names, payments or arrears.

In detail

Sponsors and donors: everything it does

Reminders for the club

  • A promise falls due in 7 days, today, or is overdue — the notice goes to the person the task is assigned to.
  • A prepared draft invoice and an invoice that is overdue.
  • A contract ends in 90, 60 and 30 days, at the half-way point “send an interim update”, and a decision once it has ended.
  • A promise or contract whose deadline you move later is reminded again; a one-off donation gets no renewal reminder.
  • Clubsman never writes to the partner by itself — the club sends every message and document.

Entry and overview

  • “New partner”: “Find” fills in the company details, and completed parts of the form get a tick; you can enter an in-kind sponsorship “Without invoice”.
  • The partner page on a phone: an “On this page” row with whatever is overdue, and the contact person with “Call” and “Send e-mail” buttons.
  • In “Sponsor tasks” the sponsor manager sees how many tasks others have open and how many are overdue.
  • You can give a custom role the right “Manages sponsors” to edit sponsors.

Documents Clubsman prepares

  • A partnership confirmation at signing: what the partner gets and what the club will report on.
  • A partnership overview for any period, with photos and the club’s figures.
  • A donation agreement and a donation receipt; the e-invoice for an instalment carries the contract number.
  • A sponsorship offer for new companies: typical promises and the club’s figures.

Safeguards

  • Restricted industries: tobacco cannot be entered, and alcohol and gambling need the club’s confirmation.
  • A sponsor never sees members’ names, payments, arrears or groups smaller than 10 people — nor any share from which fewer than 10 people could be worked out.
  • Photos with people go into the report only if the club has consent for them.
  • Coaches do not see contract amounts in their tasks; the amounts are visible to the board and the Accountant role.
